Translator Terms and Conditions

Eagle Language Service, S.L. operates a selection process for new self-employed translators. If you are interested in working with us, please read our Translator Terms and Conditions below and complete the registration form in order for us to enter your full details into our database.

Legal Status:
All translators who wish to collaborate with us must be registered as self-employed for tax purposes or in a legal situation that enables them to issue invoices to the company. Eagle Language Service, S.L. reserves the right to request that translators provide a Subcontractor's Tax Certificate ["Certificación para Contratistas y Subcontratistas"] regarding translators resident in Spain.

Invoices:
Each translator shall issue one single invoice at the end of the month, specifying each individual translation project completed during said month with the corresponding project reference number. Invoices must be sent between the 30th of the month and the 5th of the next month. Invoices must also include the corresponding 20-digit bank account number to enable payment to be made via electronic bank transfer.

Delivery Deadlines:
Under no circumstances will delays be accepted to those delivery deadlines agreed with Eagle Language Service, S.L., unless otherwise agreed with Eagle Language Service, S.L. or on justifiable grounds of force majeure. Said delivery deadlines will be clearly stated on each corresponding Translation Order Sheet.

Translation Memories:
In those cases where it is requested that the translation be performed using a translation memory, the translator shall be required to delivery the clean version of the translated text and the exported TM. In the event of any question of a technical nature, the translator should contact Eagle Language Service, S.L. The exported TM shall remain the property of Eagle Language Service, S.L.

File Names:
The original name of the file provided for translation must not be changed, except by adding a suffix that includes the ISO code of the language into which the text has been translated separated by an underscore. (For example: If the document was originally named "selección.doc" and it is translated into English, the translated file must be named "selección_en.doc").

Style Requirements Specified By The Client:


As a general rule, the original format of the document from the client should be respected as far as possible, as well as any specific instructions that the client may provide with regard to each translation project.



When the original text is provided in an editable electronic format, the translation must be provided by overwriting said text. When the original text is provided on paper or in an uneditable format, all efforts must be made to maintain a format as similar as possible to the original document. This includes the insertion of page headers and footers, the creation of contents, lists and tables, respecting format styles (bold, italics, etc.) and all other basic word processing guidelines.



Style Requirements Specified By Eagle Language Service, S.L.:


In those cases in which no specific style requirements have been made by the client regarding the document for translation, the guidelines contained in the Style Guide of Eagle Language Service, S.L., provided below, must be followed in order to harmonise the style of all documents and, therefore, the corporate image of the company to its clients.

The translation of such documents with no specifically-defined format must be undertaken in accordance with the existing "Translation Template" in WORD format which will be provided to the translator upon acceptance of the order.

Paper Size: Standard paper size UNE A-4 (210mm x 297mm) must be used for all documents, with the exception of those documents sent by a client in a different size, which must be respected.

Page Setup: The page margins to be used in the page setup are defined in the above-mentioned Template.

Top: 3 cm (1.25cm for the header)
Bottom: 2.5 cm (1.25cm for the footer)
Left: 2.5 cm
Right: 2.5 cm

Format: the different styles of font and paragraph setup that must be used are defined in the above-mentioned Template. Generally-speaking, Arial point 12 is to be used as standard.

The criteria for selecting different format styles are the following:

In the case of titles, Title1 must be used first, followed by Title 2 and so on depending on the number of chapters and/or sections that are contained in the document.

All text must be written in the style defined in the template, depending on the title to which it belongs. The first line of each paragraph must not be indented.

In the event that there are appendices to the document(s) and the appendices contain chapters and/or sections, the same numbering system as mentioned above must be used, preceded by the word "Appendix".

The bullet point styles created in the template must be used in the event that it is necessary to number or highlight certain parts of the text within a section.

The author of the document must decide the most suitable method regarding the use of bold and underlined fonts in order to achieve clarity when reading the document. However, overuse of these font styles must be avoided.

Figures and tables:
Tables must be presented in the format defined in the Template.

Those tables that occupy less than one page must be inserted into the text or below the text, as close as possible to the place where reference to the table is made.

Those tables that occupy one page or more must be included on the page or pages following the place in the text where reference to the table is made.

Composition/Style of the document:
The accent rules and punctuation guidelines of the official Language Academies of each target language must be used, as the case may be.

Upper/Lower Case:
Upper case must be used for those words that must be written with capital letters due to obligatory spelling rules of the target language, for example, proper nouns, days of the week, months, job titles, etc

Upper case must be used in the following cases: acronyms, first letter of a word that identifies a type of menu or feature, first letter of the first word in a list or quotation.

Upper case must not be used in the following cases: compounds followed by an abbreviation or acronym, when something requires emphasis, names of variables.

Initials/Acronyms:
Initials or acronyms must be translated and followed by the corresponding initials or acronym in brackets in the source language, unless a valid, standard translation exists in the target language. E.g PSOE should be the following: Spanish Socialist Workers Party (PSOE) whereas ONU should be the United Nations (UN). Subsequently the initials used in brackets should be employed.

Acronyms and initials must always be written without full-stops between the letters and must not change in the plural.

The overuse of abbreviations must be avoided, especially for words such as definite and indefinite articles, chapter, section, Euro, number, road, etc., as well as those words that are commonly misinterpreted, such as i.e., e.g., etc.


Spelling: The use of the following must be avoided:
Inconsistent terminology and use of upper case.

Repeated words, spelling mistakes or omitted words.

Incorrect use of verb tenses.

Grammar: The use of the following must be avoided:
Long sentences with confusing subordinate clauses.

Incomplete sentences without articles.

Sentences with overly complex structures and syntax.

It must be taken into consideration that:
The rule regarding the division of words with a hyphen is different for each language.

The symbols used with ordinal numbers may be different for each language.

Hours and minutes must preferably be written in words or separating the hours from the minutes with a colon.

Currency symbols must not be used; the name of the currency must be written in full, except for when it appears in tables or accounts.

Telephone and fax numbers must be written in numbers, including the prefix, and without full-stops.

The presence of chapter and section titles at the end of a page with no text beneath must be avoided.

The presence of loose lines of text at the end or start of a page must be avoided (widows/orphans).

Translation Style:
Avoid common errors, such as false friends, false cognates, linguistic interference, register errors, etc.

The translation must be written concisely, avoiding the use of unnecessary words.

Avoid literal translations by adapting the text so that it can be understood.

The subjunctive must be used sparingly (for actions focused on the recipient).

Adaptations:

The target document must be faithful to the source document. Therefore, in those cases in which it may be necessary to adapt the text with regard to the use of cultural terms and references, forms of address, specific details (such as postal addresses, telephone and fax numbers, email addresses, prices, etc.) and currency or measurement conversions, changes must be made without altering the meaning of the original text and indicating the pertinent adaptation to the target language in brackets.


Revision of the text:

Prior to delivering the work to Eagle Language Service, S.L., the translator will be responsible for completing a revision of the completed translation. No translation will be accepted that contains spelling mistakes, unjustified text or without having applied the spell-check. In the case of languages different to that of Spanish, English and French, the translator undertakes to forward to us the translations after their due revision by an external reviser.
